Ambassador and point of contact for teams supported both internally and externally

  • Ambassador and point of contact for teams supported both internally and externally
  • Take ownership and be accountable for all tasks undertaken
  • Proactively manage the teams’ diaries, initiating, arranging and rescheduling meetings internally and externally
  • Prepare and provide relevant papers for all meetings as required
  • Liaise with internal suppliers for internal and external meetings (Catering, Facilities, AV support) to ensure smooth running of all meetings
  • Handle all incoming and outgoing correspondence, including prioritising, copying, scanning and distributing papers as appropriate (either physically or by email)   
  • Ability to draft correspondence to a high standard
  • Produce and co-ordinate client presentations/reports to a high standard within tight timeframes ensuring they are brand compliant
  • Produce Quarterly Reports for internal and external purposes
  • Produce Annual Strategy Reports
  • Produce and circulate Property Summaries for Investment Committee meetings, usually required within a tight timeframe. 
  • Filter and manage the team’s telephone calls effectively.  Ability to deal with enquiries and escalate when appropriate
  • Maintain paper and electronic filing systems, archiving files when required, ensuring all archived files are properly catalogued to ensure efficient recall from archive
  • Undertake processing of legal documents in accordance with LGIM Real Assets procedures
  • Take minutes when required at meetings
  • Ensure invoices are paid on time and tracked appropriately
  • Setting up new suppliers with the Accounts Payable team
  • Arrange travel, car hire and accommodation as appropriate for business trips, conferences (UK and/or overseas) and site visits
  • Raising IT support requests to ensure there is an audit trail for all items requested:
  • Organise site visits 
  • Deal with and complete any other ad hoc projects that may arise from time-to-time, ranging from small internal events to large, external functions. 
  • Paper and/or digital subscriptions to publications
  • Subscriptions to industry bodies, eg RICS, IPD (Investment Property Databank), CFA (Chartered Financial Analyst), REVO (Retail body), BCO (British Council for Offices).  These can either be on a personal or corporate basis
  • Attendance at external seminars, conferences, events (and payment for these)
  • Logging CPD (Continuing Professional Development) on behalf of teams supported

Technical skills

  • Educated to A level standard or higher
  • Secretarial qualifications or equivalent and/or the ability to demonstrate a proven track record
  • In depth experience within industry/commercial environment. Ideally with experience in Property and/or Financial Services sector.
  • Typing speed of 60+wpm
  • Advanced Outlook diary management essential
  • Intermediate/advanced levels of ability in the following Microsoft applications:
    • Outlook
    • Word
    • PowerPoint
    • Excel
