We are seeking a new member of the team to provide administrative and coordination support to LGIM’s HR Director and the LGIM HR team, supporting key projects and HR activities throughout the year.

To provide administrative and coordination support to LGIM’s HRD and the HR team, supporting key projects and HR activities throughout the year. Administrative service will account for approximately 40% of the role holder’s time, with the balance being spent on coordination and collation of information to support the HRD and the HR teams on projects and HR annual cycle activities. Responsibilities will include:

  • Ensures the timely collation of data for the divisional and business unit talent reviews, engagement and calibration review meetings. Preparing the meeting agenda, information packs and ensuring all attendees have the required information, attending to take minutes as and when required and updating records post meetings.
  • Collates and coordinates the delegate list for Leadership and Management programmes on behalf of LGIM, working with the relevant HRBP lead to ensure their timely submission following talent reviews.
  • Requests and produces MI and reports, liaising with HR MI and using My Performance and  as directed by the HRD and HRBPs. Produce interpretation of trends and findings, summarises and completes various MI reporting requirements for senior management consideration.
  • Supports the HRD and HRBP in distributing comms that will embed new HR processes.
  • Support HRD and HRBPs in prompting managers to take action leading up to annual cycle events and following HR led meetings
  • Support the LGIM Resourcing team
  • Support HR team with collation and distribution of data in preparation of the Voice survey, performance calibrations and pay review
  • Assists the HRBPs in prompting managers and their teams to complete mandatory CBT requirements and ensuring performance reviews and annual objectives are completed on the system to the set deadlines.
  • Undertake a variety of ad hoc HR projects involving internal and external research and liaison, on behalf of the HRD and the team within a predetermined framework
  • Responsible for the management of HRD diary and supporting both HRD and the senior HR team with the booking of internal and external meetings, telephone/tele-conferences and taking care of logistics (venue, travel, accommodation, equipment etc). Collates and distributes relevant pre-meeting documentation and minutes post meetings.
  • Provide prompt, professional and courteous support to any enquiry from any internal or external customer including internal Board members and external Executive Directors. Assesses the nature, confidentiality and urgency of issue, taking remedial action as necessary. Where possible responding or recommending a response on behalf of the HRD / senior leadership team to the enquiry and taking ownership that these enquiries are resolved.
  • Responsibility for invoice management for the HR team, including setting up new suppliers, raising purchase orders and laising as required with Expense Accounting.
  • Perform general ad hoc secretarial and administrative duties, e.g. scanning and printing documents
  • Maintain flexibility of working hours as required by the role. It is a highly confidential role and ensuring the integrity of the function is critical to its perception and trust.

 

The nature of this role requires some experience and knowledge of HR processes and procedures, including knowledge of relevant internal and external resources, contacts, department and its dependencies.

  • Certificate in Personnel Practice desirable but not essential.
  • Good knowledge of key HR processes. Understanding of the scope and role of Human Resources function, with experience of working in an HR department and coordination of key HR processes
  • Comprehensive knowledge of the Office suite of systems and ability / willingness to grasp new or unfamiliar software quickly when necessary. Proficient at PowerPoint. Excellent at collating and manipulating data in Excel. Independent user of digital technology and keen to develop skills. Good understanding and experience of using Office 365 tools.
  • A broad understanding of the company structure from Executive Director level, through to PAs, Direct Reports and all LGIM . Knowledge of organisational infrastructure is essential, as is a broad network of contacts at all relevant locations
